Unified inbox

Also called: omnichannel inbox, multichannel inbox, universal inbox

Definition

A unified inbox collects messages from several channels, such as WhatsApp, SMS and Instagram DMs, into a single view, so a team can read and reply without switching between apps.

How it works

A unified inbox connects to each messaging channel a business uses and shows incoming conversations in one list. A WhatsApp message, a text to the business number and an Instagram DM all appear side by side, usually tagged with the channel they came from. Replies go back out on the same channel the customer used.

The key word is unified: the problem it solves is channel sprawl. Instead of checking three apps on two phones, the team works from one screen.

Example

A yoga studio gets class questions three ways: texts to its business number, WhatsApp messages from students who travel, and Instagram DMs from people who found a post. Before, the owner checked each app in turn and sometimes missed a DM for a day.

With a unified inbox, all three arrive in one list. The front-desk manager filters by “unanswered”, replies to the oldest first and can see that the person asking about a beginner series on Instagram is the same person who texted last month, if the contacts are linked.

Unified inbox vs. shared inbox

The terms overlap, but they answer different questions:

  • A unified inbox answers “where do messages from different channels go?” It is about combining channels. One person could use a unified inbox alone.
  • A shared inbox answers “how do several people work the same messages?” It is about team access, and it can cover a single channel.

Most team tools do both. When you evaluate one, check each part separately: which channels are actually supported, and how ownership works when several people can see the same thread.

Why it matters for messaging teams

Response time suffers most when messages are scattered. A single view makes it possible to see every unanswered conversation at once, sort by wait time and spot anything that has gone quiet. It also gives the CRM one place to attach contact history.

Common mistakes

  • Counting channels instead of checking depth. A channel that only shows notifications, or can’t send replies, isn’t really unified.
  • Combining channels without combining contacts, so the same customer appears three times. See contact deduplication.
  • Skipping ownership rules once everyone can see everything.

In inChat, the unified team inbox is in development as part of launch scope, with WhatsApp and SMS as launch channels and Instagram DMs planned next after launch.
