Use case · Sales follow-up

Follow up on every quiet lead, and stop the moment they write back.

Most leads don’t say no; they go quiet. inChat is being built so every open conversation has a next follow-up, the reminder clears itself when the customer replies, and nobody sends a “just checking in” to someone who answered an hour ago.

inChat is in early access. Features shown are in development.

The problem

Follow-up fails in two directions

Either nobody follows up because the reminder lived in someone’s head, or someone follows up blindly because the reminder didn’t know the customer had already replied on a different phone. Both cost you the lead.

  1. 01

    Reminders live in people’s heads

A rep means to check back with a prospect on Friday. Friday gets busy. Nothing in the system knows the conversation needs a nudge, so the lead quietly expires.

  2. 02

    Follow-ups ignore the reply

Calendar reminders and spreadsheet dates don’t know what happened in the chat. The customer replied yesterday, and today they get a generic check-in that makes your team look disorganized.

  3. 03

WhatsApp rules catch teams off guard

On the WhatsApp Business Platform, once 24 hours pass since the customer’s last message, a business can only start the conversation again with a pre-approved template. Teams that don’t plan for this get stuck the day they need to follow up.

The workflow

A follow-up cadence tied to the conversation

The rule is simple: the follow-up belongs to the thread, not to a separate to-do list. Here’s the routine inChat is designed to support.

  1. Every open lead gets a next step

When you send a quote, a price list or a proposed time, set a follow-up on the conversation: “no reply in 2 days.” If the customer replies first, the reminder clears automatically.

  2. Choose the channel the customer chose

If they started on WhatsApp, follow up there; if they texted, text back. Switching channels mid-conversation feels like a different company.

  3. Plan around the 24-hour window

Within 24 hours of the customer’s last WhatsApp message you can reply freely. After that, use an approved template to reopen the conversation. Prepare two or three follow-up templates in advance and submit them for approval before you need them.

  4. Space it out and make each touch useful

A common pattern is a short check-in, then something useful (an answer to a likely question, an available slot), then a polite close-out. Each message should stand on its own, not just repeat “any update?”

  5. Close out quiet leads on purpose

After the last follow-up, move the lead to a Quiet or Lost stage with a reason. Your pipeline stays honest, and you can come back to quiet leads later with a reason to write.

How inChat helps

The parts of inChat that matter here.

In developmentCapabilities are part of the early-access build
Templates, consent and timing
  • WhatsApp Business Platform: outside the 24-hour customer service window, businesses can only send pre-approved message templates. Approval isn’t instant, so prepare follow-up templates before you need them.
  • WhatsApp also expects the customer to have opted in to hear from your business. Keep a record of how and when they did.
  • SMS follow-ups in the US run under A2P 10DLC registration and consent rules, including honoring STOP replies. Rules for marketing messages differ from conversational ones; check with your provider or counsel, since rules change.
  • Automated sequences that send without a person reviewing them aren’t the goal here. inChat’s follow-up reminders prompt a person; automation is in development.
FAQ

Sales follow-up: your questions.

What inChat is designed to do for sales follow-up, and what’s still being decided.

Ask us something else

That’s how the reminders are designed: they belong to the conversation, so an inbound reply clears them. The feature is in development as part of launch scope.

Only with an approved message template, which is a WhatsApp Business Platform rule, not an inChat one. The plan is for inChat to show when the window has closed so you know a template is needed. WhatsApp is a launch channel in development.

Fewer, better ones. A short check-in, one useful message and a polite close-out is a reasonable starting point. Adjust for your sales cycle, and stop the moment the customer asks you to.

The AI assistant (in development) can draft a follow-up based on the conversation. A person always reviews, edits and sends it.
