Workflow automation

Automations that react to what customers actually say and do.

Workflows start from conversation events: a new message, no reply in 24 hours, a deal reaching a stage. They handle the routine (assigning, reminding, updating) and hand the human part back to your team.

The job it does

Follow-up shouldn’t depend on someone remembering.

The work that slips is rarely hard. It’s the second follow-up, the reminder the day before, the stage update after a booking. Each one is easy, and there are hundreds of them.

Without it

  • Follow-ups tracked in heads and sticky notes
  • Automated messages that keep firing after the customer replied
  • CRM updates done at the end of the day, or never
  • Automation tools that can’t see the conversation

With inChat

  • Triggers from conversation and deal events
  • Waits that respect business hours and replies
  • Steps that assign, remind, tag and update
  • Customer-facing messages reviewed by a person by default
Capabilities

What workflow automation includes.

Conversation triggers

New conversation, customer replied, no reply in X hours, conversation closed, keyword mentioned.

CRM triggers

Deal stage changed, field updated, contact tagged, appointment date reached.

Actions

Assign, create a task, add a tag, update a field, move a deal, notify a teammate or suggest a message.

Built-in brakes

Waits stop when the customer replies. Channel rules like WhatsApp’s 24-hour window are respected.

Example workflows

Start with the follow-ups you already do by hand.

The first workflows most teams need are simple. They become valuable because they run every time, for every customer, without anyone checking a list.

  • New lead from Instagram → assign by round-robin → remind if unanswered after 15 minutes
  • Appointment tomorrow → suggest a reminder message → log it on the deal
  • No reply to a quote for two days → task for the owner
  • Deal won → tag as customer → schedule a check-in after the job

How it works

Getting started, step by step.

  1. List your repeat follow-ups

Anything someone does more than ten times a week is a candidate.

  2. Automate the reminder first

Start with tasks and notifications for your team before automating customer-facing messages.

  3. Keep a person on customer messages

Suggested messages wait for approval by default. Loosen that only where you’re sure.

  4. Review what ran

Each run is logged on the contact’s timeline, so you can see what happened and why.

Workflow automation FAQ

Questions about workflow automation.

What it does, how it’s designed, and what’s still being decided.

Ask us something else

The default design is that workflows suggest customer-facing messages and a person approves them. Whether fully automatic sending is offered, and for which message types, is being decided with early-access teams.

They’re designed to. Outside WhatsApp’s 24-hour customer service window, only approved message templates can be sent, so workflows offer templates there instead of free text.

No. Third-party integrations aren’t available or scheduled yet. Workflows run inside inChat.
