An education CRM for enrollment teams that answer parents and students by message.
Language schools, tutoring centers, music schools, test prep and bootcamps get most first questions on WhatsApp and text. inChat is designed to keep each inquiry owned, linked to the right family, and moving toward a start date.
inChat is in early access. Features shown are in development.
Enrollment runs on deadlines, and inquiries don’t wait for office hours
A parent asks about evening groups on a Sunday. A student messages about the next cohort two days before the application closes. Your admissions coordinator answers from her own phone, then goes on leave, and nobody knows which families came to a trial class but never paid the deposit. Each intake, the same thing happens: seats fill late, or not at all, because the follow-up never got sent.
- 01
The parent asks, the student decides
Often two people are involved in one enrollment, sometimes on different numbers. Without linking them, you end up with two contacts, two threads and nobody with the full picture.
- 02
Trial classes with no next step
The trial class is where most enrollments are decided, yet the follow-up afterward is the step that gets skipped most when the front desk is busy.
- 03
Intake dates creep up quietly
With rolling inquiries and fixed start dates, it’s hard to see who is still undecided for the January cohort versus who is really asking about the fall.
From first question to first day of class
This is how an enrollment team would work in inChat as it’s designed. inChat is in development and offered through early access only.
Inquiry arrives and gets an owner
WhatsApp and text inquiries land in one inbox. Rules can route by program (kids, teens, adults, exam prep) so the coordinator who knows that schedule answers.
Record who is who
Note whether you’re talking to a parent, a student or both, and link them on one record with the student’s age, level and program interest.
Book a trial class or placement
Offer a trial or placement session in the thread, record the date on the contact and move the deal to “Trial booked”.
Follow up after the trial
A reminder fires if there’s no reply within a set time after the trial, so the enrollment conversation happens while the class is still fresh.
Work the intake deadline
Filter by target intake to see every family still undecided for the next start date. Anyone who misses it moves to the following cohort with a new follow-up date.
A parent asks about evening groups. The coordinator knows who she’s talking to, which program fits, when the trial is and which intake it’s aimed at. The follow-up after the trial is already scheduled, and the sibling question went to the person who can answer it.
The parts of inChat that matter here.
Routing by program
Send kids’ program inquiries to one coordinator and exam prep to another, with round robin when the same people cover everything.
See conversation assignmentParent and student on one record
Keep the parent’s and the student’s numbers on one family record with the full message history, so a second coordinator can pick up mid-enrollment.
See contact managementFollow-ups after trials and before deadlines
Set “no reply in X hours” timers and follow-up reminders so post-trial and pre-deadline messages go out on time, written by your team.
See lead managementFields for intake, level and program
Add the fields your enrollment process uses, such as target intake, level, preferred schedule and who decides, and filter the pipeline by them.
See custom fields- inChat isn’t a student information system or learning platform. Attendance, grades, class rosters and tuition payments stay in the tools you use today.
- If you message students under 18, set a clear policy on whether you contact the student, the parent or both, and get consent first. inChat doesn’t verify age or consent for you.
- Promotional texts about upcoming intakes need prior consent, and WhatsApp messages sent outside the customer service window need an approved template. Check with your provider or counsel; rules change.
- There are no integrations with enrollment forms, calendars or payment tools today.
Education: your questions.
What inChat is designed to do for education, and what’s still being decided.
Ask us something elseYes, that’s how contact records are designed. You can link both people, note who’s the decision-maker, and see both threads in one history. Contacts and records are in development as part of the launch scope.
Follow-up reminders for your team are part of the launch scope. Automated messages triggered by conversation events are in development. In both cases your team controls what goes out, and WhatsApp messages outside the 24-hour window need an approved template.
WhatsApp, through the WhatsApp Business Platform, is a launch channel and in development now, alongside US SMS. Instagram DMs are planned for after launch.
No. inChat doesn’t process payments and has no payment integrations. You can track deposit status as a pipeline stage or field, but the payment happens in your existing system.
inChat is pre-launch. You can request early access now. Pricing isn’t published yet, so ask us for details when you’re ready.
